How use your data
We may collect certain personal information from you in order to provide a service. This information may be collected from mail, email, telephone and other means and includes personal details such as names, addresses and telephone numbers. In the event that we do collect such information, this will be stored by us in a secure environment.
Third party companies we work with
CogniSoft uses third-party suppliers to store and process some of the information we collect about individuals we interact with. Customers can access a full list of third-party suppliers on the CogniSoft Support site. For individuals not at customer sites, the principle third-party suppliers we use are Wired Marketing and WordPress plug-in Flamingo.
Data collected through web forms
When you submit a form on our website you will be asked for basic contact details in order that the appropriate Sales Consultant contacts you to respond to your enquiry. We only collect the minimum amount of data possible to facilitate this. Data are stored in our WordPress plugin, Flamingo, and sent by email to the Sales Manager. If a product demonstration is required, your details will be logged in our CRM system, which is hosted and managed by CogniSoft.
Data collected by customers
Customers or system users may use a system hosted by CogniSoft to store or upload personal data relating to their clients, delivery partners or other third parties. CogniSoft has no direct relationship with the individuals whose personal data it hosts as part of client data.
Each client is responsible for providing a privacy notice to its customers and other parties concerning the purpose for which the customer collects their personal data and how this data is processed in or through the CogniSoft system.
Subscribing to our newsletter
Newsletters are regularly sent to the technical and administrative contacts at our customer sites. Contacts at non-customer sites are able to submit details including email address via a web form to request a newsletter, or contacts at customer sites who would like to receive a copy should contact us by telephone or email or through their account manager.
Using our Support services
Nominated personnel at customer sites can request help from our Support service. If you request help with a technical query from us by email, telephone or via our Support Site, we will collect data necessary to assist with your query, such as your name, the provider’s name etc. A summary of the query is logged in our CRM system, which is managed and hosted by us.
Complaints or queries
CogniSoft strives to maintain the highest standards when processing personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring any concerns to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.
This privacy notice was drafted with brevity and clarity in mind. It does not provide exhaustive detail of all aspects of CogniSoft’s collection and use of personal information. Your rights

We only process data where we have the legal basis to do so under the GDPR principles and do not share the data with any other parties unless you know about it and give us clear consent to do so. We never share your data with anyone else.
Access to personal information
CogniSoft aims to be as open as it can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a ‘subject access request’ under the Data Protection Act 1998 and the GDPR. We are only able to respond to SARs where we are the ‘Data Controllers’ under the definition of the GDPR.
